1. Scope
This policy explains how Orstrax LLC, operating the Ecloras platform (the “Service”), collects and uses information when you use Ecloras — including the marketing site, sign-in, and operator dashboard. In this policy, “Ecloras,” “we,” “us,” and “our” refer to the Ecloras platform operated by Orstrax LLC. Businesses that run on Ecloras may publish their own client-facing booking sites with separate branding. Those businesses may have additional policies for their clients and staff.
2. Information we process
We process account information such as name, email address, role, store or organization assignment, and profile image. We also process operational information such as appointments, clients, services, hours, messages, and support requests. If you enable notifications, we process browser push-subscription data and notification preferences. On a public booking website we collect waitlist and booking details you submit (name, email, and phone) so we can reach you and manage appointments. On the Ecloras interactive demo we also collect the name, email, and optional phone you enter when you complete a sample booking, along with the demo service and provider selections you made.
3. How we use information
We use information to authenticate users, operate and secure the Service, present organization-scoped dashboards, provide support, send requested product notifications, and maintain or improve the Service. We do not sell personal information or use customer business data for unrelated advertising. Tenant business data stays scoped to that business. Information submitted through the interactive demo is used to send you a sample booking confirmation, to show a demo booking-status experience, and — with the disclosure shown at booking — for occasional Ecloras product communications from Orstrax LLC. Demo leads are not added to a studio’s client list, queue, appointments, or reporting.
4. Emails about waitlists and appointments
If you join a waitlist or book or cancel an appointment on a studio booking site, we send transactional emails to the address you provide — a confirmation and updates about that waitlist request or visit. Those messages are sent because you asked us to process that request, not as Ecloras product marketing. We do not add you to a promotional list from a studio booking form.
4A. Mobile numbers and transactional SMS
We may collect a mobile phone number when you book, join a queue or waitlist, look up a visit, or otherwise interact with a studio booking site. After you affirmatively opt in (for example by selecting an unchecked consent checkbox), we may use that number to send transactional or service SMS messages about your appointments, bookings, queue or waitlist status, arrival updates, and related booking/payment notices. We record SMS consent and opt-out preferences so we can honor your choices. You can opt out by replying STOP to a message from our messaging number; reply HELP for assistance.
SMS consent and mobile opt-in data are not sold or shared with third parties for their own marketing or promotional purposes. Service providers that help us deliver messages (such as Twilio) may process phone numbers and message content only as needed to provide messaging and related services to us. Providing a phone number without selecting the SMS consent control is not treated as SMS consent.
4B. Demo booking emails and product marketing
When you complete the Ecloras interactive demo, we email a sample confirmation that mirrors what clients receive after booking. That message is part of the product demonstration you requested. Completing the demo also adds your email to Ecloras product marketing communications operated by Orstrax LLC, as disclosed on the demo booking form. You can unsubscribe from product marketing at any time using the link in those emails. Unsubscribing from Ecloras product marketing does not affect transactional booking emails sent by studios that use Ecloras. Phone numbers collected in the demo are for contact context only and are not treated as SMS marketing consent.
5. Service providers
We use service providers to operate the Service, including Firebase for authentication and data storage, Vercel for hosting, Resend to deliver transactional email, and Twilio to deliver transactional SMS when configured. These providers process information only as needed to provide their services to us.
6. Cookies and local storage
The Service uses browser storage and essential session technology to keep you signed in, remember selected store or display preferences, and support notification features. We do not use the Service for third-party behavioral advertising.
7. Sharing and access
Information is made available only to authorized users within the applicable organization or store, subject to their role and permissions. We may disclose information when required by law, to protect the Service and its users, or as part of a business transaction involving the Service.
8. Retention and security
We retain information for as long as needed to provide the Service, meet legal obligations, resolve disputes, and enforce agreements. We use technical and organizational measures designed to protect data, but no internet service can guarantee absolute security.
9. Your choices
Contact your organization administrator to correct or remove organization-managed account information. You can change browser notification permissions in your device or browser settings. To stop transactional SMS, reply STOP to a message from our messaging number. If you believe you received a waitlist or appointment email in error, reply to that message or email us. To stop Ecloras product marketing emails, use the unsubscribe link in those messages (studio booking emails are separate). For privacy questions or requests, email hello@ecloras.com.
